How Zencovi works
Give employees a simpler way to get answers while keeping your benefits team in control.
1. Upload your plan documents
HR administrators add SPDs, summaries of benefits, carrier materials, policy documents and even recorded benefit videos to a private workspace. Text documents are read and indexed so answers can quote the exact wording; media files are stored for sharing rather than reading.
2. Give employees one email address
Each organization gets a company-specific address such as acme@zencovi.com. Employees email it from their normal inbox — no new account, portal or app is required of them. Employers who prefer their own address can forward benefits@yourcompany.com to it, and Zencovi shows a live check that forwarding is set up correctly.
3. Zencovi answers with sources
Zencovi finds the relevant passages in your documents and replies in plain English, naming the document behind the answer. Where a question is general benefits knowledge rather than plan-specific, the reply says so. Every reply closes with a reminder that it is general information, not legal, tax or medical advice.
4. Uncertain questions go to a human
If Zencovi's confidence is low, the question involves a claim, dispute or personal situation, or the answer simply isn't in your documents, the question is flagged and routed to your designated benefits contact instead of being guessed at.
5. HR stays in control
HR decides which documents may be emailed out and to whom, whether they are copied on correspondence, and what Zencovi knows about the company. An analytics view shows question volume, portal versus email usage, confident answers and escalations.
